Enrolment Requirements

All TAJ centres enforce the policy of mandatory vaccination for children, in compliance with National Legislation. Prior to enrollment, parents or guardians must submit a current Immunisation History Statement for their child. In cases where the child’s vaccinations are not up to date, documentation indicating enrollment in a catch-up schedule is required. This updated information should reflect on the Immunisation History Statement subsequent to a visit to the General Practitioner for coordination of the catch-up schedule.

The ratio of educators to children varies by age group and state.

New South Wales Educator to Child Ratios
Infants Ages 0-2: Ratio of 1 Educator per 4 Children (1:4)
Toddlers Ages 2-3: Ratio of 1 Educator per 5 Children (1:5)
Preschoolers Ages 3-6: Ratio of 1 Educator per 10 Children (1:10)

Please review the age requirements at our centers, as the age groups at each location vary between 2-5 and 3-5 years only.

When enrolling your child in a childcare center in New South Wales (NSW), you will need to prepare the following essential documents:

  1. Proof of Identity: This may include your child’s birth certificate, passport, or visa documentation.
  2. Immunisation Records: Ensure you have your child’s up-to-date immunisation records as per the NSW vaccination requirements.
  3. Contact Information: Provide your contact details, emergency contacts, and any relevant custody agreements.
  4. Medical Information: Inform the childcare center about any allergies, medical conditions, or special needs your child may have.
  5. Enrolment Forms: Complete any necessary enrolment forms provided by the childcare center.

By ensuring you have these documents ready, you can streamline the enrolment process for your child in childcare in NSW.

The Child Care Subsidy is a government payment that reduces families out-of-pocket costs for childcare, including: Centre Based Day Care, Family Day Care or Outside School Hours Care.

All TAJ childcare centres are registered for the Child Care Subsidy (CCS). If you’re new to childcare, we recommend that you apply for the claim as soon as possible.

A CRN is your Customer Reference Number with Centrelink. It is 9 numbers and ends with a letter. For example: 123 456 789A.

If you receive or have ever received income support from Centrelink, such as a Maternity Leave payment, or Parental Leave payment, you will have a CRN.

You’ll find your CRN on letters or emails from Centrelink.

If you can’t find your CRN, or don’t know if you have one, you’ll need to follow the steps to get a CRN. For more information, you can visit Services Australia.

Families need to supply the CRN for the parent claiming the Child Care Subsidy, as well as their child’s CRN, when completing the Enrolment Kit.

The quickest way to get a CRN is with myGov. To start, you need a myGov account. If you don’t have one, you can create one. Once you’ve created your myGov account, follow these steps to prove your identity online and get a CRN.

1. Sign in to myGov.

2. Select I need a CRN.

3. Follow the prompts to enter your identity details to prove who you are. You’ll need 1 of these documents:

  • Australian birth certificate
  • Australian citizenship certificate
  • Current Australian passport
  • Australian Visa

You’ll also need 1 of these documents:

4. Enter details from your Medicare card.

5. Enter some personal details. myGov will share this information with Centrelink to check if you have a CRN. If you don’t have a CRN, they will give you one.

6. Your new Centrelink online account will link to your myGov account.

7. You’ll need more identity documents at a later date to complete the identity requirements.

8. You’re now ready to claim a Centrelink payment.

If you can’t get a CRN online, you can call Centrelink to prove your identity over the phone. Once you have a CRN, you can make your claim using your Centrelink online account through myGov.

Check your child’s CRN using your Centrelink online account through myGov or the Express Plus Centrelink mobile app.

You can get your child’s Immunisation History Statement straight away using either:

You can also call the Australian Immunisation Register and ask them to send your immunisation history statement to you. It can take up to 14 days to arrive in the post.

Please note that the ‘Blue Book’ is no longer accepted. Your child’s Immunisation History Statement must show ‘Immunisation history status: Up to date’ as at the date you enrolled.

If your child’s immunisation status is not up to date you must provide proof that your child is on a a catch up schedule. This will be shown up on your Immunisation History Statement once you have visited your General Practitioner to organise a catch up schedule.

If your child has a health condition, you will be asked to supply a Medical Action Plan with your child’s enrolment. A Medical Action Plan is a document that has been prepared and signed by a doctor that describes symptoms, causes, clear instructions on action and treatment for the child’s specific medical condition, and includes the child’s name and a photograph of the child. An example of this is the Australasian Society of Clinical Immunology and Allergy (ASCIA) Action Plan.

TAJ centres are closed on public holidays and families are charged fees for Public Holidays.

TAJ centres has a two week notice period to change days or withdraw. Between October 1 and January 31, families are required to provide four weeks notice as this is during our re-enrolments period where positions are secured for the new year. Notice periods are in place to provide sufficient time for paperwork to be processed and to adjust centre operations to accomodate changes to student attendance, staffing, and catering.

The minimum requirement days to attend is 2 days.

Starting Child Care

Attending an orientation session is an important part of making a successful transition to a Montessori Academy childcare centre.

Orientations provide families with an opportunity to support their child during their initial introduction to the Montessori environment.

Sessions typically run for 1-2 hours and provide new children with an introduction to the centre’s facilities, the daily routine, the Montessori learning environment, their classmates, and their educators.

The purpose of the orientation session is to help children transition to their new learning environment and support their sense of belonging to a nurturing Montessori learning community.

We want to set your child up for a successful transition to childcare. This means ensuring that your child has all the comforts of home to feel safe and secure at their new home away from home. We ask that families pack the below items to ensure children have a sense of familiarity in their new setting.

Toddlers and Preschoolers Aged 2-6
Water bottle labelled with your child’s full name
Two sets of spare clothes labelled with your child’s full name
Backpack labelled with your child’s full name

Families are encouraged to contact the centre at their convenience to inquire about their child’s well-being at any point during the day. Our dedicated team is committed to offering transparent and candid feedback regarding your child’s adjustment. In the event that your child is experiencing unease, a staff member will promptly reach out to you and discuss the possibility of arranging for a prompt pick-up, if necessary. Furthermore, families are regularly provided with photographic updates through our designated family communication application. These visual updates showcase the various activities your child participates in and outline their daily routines, including meals, nap times, and toileting schedules.

Starting childcare can be a challenging time for families, often evoking feelings of anxiety and uncertainty at the onset of this journey. The Parent Information Meeting at TAJ is a scheduled event where parents are invited to gather and receive important information about the centre’s policies, program offerings, curriculum, and daily routines.

During this meeting, parents will have the opportunity to meet the staff, ask questions, and gain a better understanding of the care and education their child will receive at the centre. The meeting aims to establish a positive and collaborative relationship between parents and the centre, fostering open communication and mutual respect.

Important Information about our service – instead of Dos and Donts
  • All of our centers have been evaluated through the Assessment and Rating Process by the Department of Education and have received a rating of Meeting. Our Potts Hill center is scheduled to undergo the Assessment Process in November 2024.
  • Our staff members undergo thorough background checks, certification in CPR and first aid, and regular training on child safety practices.
  • We maintain a clean and organised facility that is regularly inspected for potential hazards.
  • We have strict pick-up procedures to ensure that each child is released only to authorised individuals. We also have an open-door policy for parents, encouraging open communication about any concerns or questions regarding their child’s safety.
